Definitions

"Service" — The SciTrack web application, including all features, APIs, and related services we provide.
"User" / "You" — Any individual who accesses or uses the Service, whether with or without a registered account.
"Account" — A registered user profile created with valid credentials to access the full features of SciTrack.
"Content" — Any data, text, files, images, protocols, manuscripts, notes, tasks, ideas, projects, or attachments you create, upload, or share within the Service.
"Subscription" — A paid or free plan that determines the features and resource limits available to your Account (if applicable).
"Intellectual Property" — All copyrights, trademarks, trade secrets, patents, and other proprietary rights in and to the Service and its content.
"Third-Party Services" — External services integrated with or linked from SciTrack, such as email-delivery providers, hosting infrastructure, and analytics tools.

Acceptance of Terms

By accessing or using SciTrack, you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions. If you do not agree, you must not use the Service.

If you are using SciTrack on behalf of an organisation, university, or other institution, you represent and warrant that you have the authority to bind that entity to these terms. In such cases, "you" and "your" refer to both you individually and the entity you represent.

Eligibility & Accounts

  • Minimum Age — You must be at least 16 years old (or the age of digital consent in your jurisdiction, whichever is higher) to create an account and use SciTrack.
  • Registration — You must provide accurate and complete information when registering. You are responsible for keeping your account details up to date.
  • Security — You are solely responsible for maintaining the confidentiality of your login credentials. You agree to notify us immediately at admin@scitrack.net if you suspect any unauthorised access to your account.
  • One Account — Each individual should maintain only one account. Creating multiple accounts to circumvent restrictions or abuse platform features is prohibited.
  • Accuracy — You may not impersonate any person or entity, or misrepresent your identity or affiliation.

Service Description & Changes

SciTrack is a research-management platform that helps researchers organise their workflow — from initial ideas and protocols through to projects, tasks, notes, manuscripts, and submission/publication tracking. The platform also provides in-app messaging and file-attachment capabilities.

We continuously improve the Service and may, at our sole discretion:

  • Add, modify, or remove features at any time.
  • Perform scheduled or unscheduled maintenance that may temporarily interrupt access.
  • Introduce new modules or deprecate existing ones with reasonable notice where practicable.

We will make reasonable efforts to communicate significant changes in advance via email or in-app notifications.

User Content, Ownership & License

Ownership. You retain full ownership of all Content you create, upload, or share on SciTrack. We do not claim any intellectual-property rights over your research data, manuscripts, protocols, or attachments.

License to Us. By using the Service, you grant SciTrack a limited, non-exclusive, worldwide, royalty-free license to host, store, process, and display your Content solely for the purpose of providing and improving the Service. This license terminates when you delete your Content or your account.

Collaboration. If you share Content with collaborators through the platform, you control who has access and what level of access they receive. SciTrack is not responsible for how collaborators use shared Content.

Prohibited Content. You must not upload Content that:

  • Is unlawful, defamatory, fraudulent, or infringes on the intellectual-property rights of any third party.
  • Contains confidential or proprietary information to which you do not have the right to distribute.
  • Includes sensitive personal health information unless you have a lawful basis and all required consents to do so. SciTrack does not provide HIPAA-compliant storage.
  • Contains malware, viruses, or any code designed to disrupt or harm the Service or its users.

Academic & Research Disclaimer

Important: SciTrack is an organisational and productivity tool for researchers. It does not provide medical advice, legal counsel, scientific validation, or ethical review.

As a user, you are solely responsible for:

  • Obtaining appropriate institutional review board (IRB) or research ethics committee (REC) approvals for your studies.
  • Complying with journal policies, authorship guidelines (e.g., ICMJE), and publication ethics standards.
  • Adhering to all applicable data-protection laws (e.g., GDPR, institutional policies) and obtaining necessary participant consents.
  • Ensuring the accuracy, integrity, and originality of your research output and manuscripts.

Acceptable Use Policy

You agree not to use SciTrack to:

  • Engage in any unlawful, harassing, defamatory, hateful, or abusive conduct.
  • Upload or distribute malware, trojans, viruses, or engage in security probing, port scanning, or vulnerability testing of the Service without prior written permission.
  • Scrape, crawl, reverse-engineer, decompile, or otherwise attempt to extract source code or proprietary data from the Service.
  • Interfere with or disrupt the Service, servers, or networks connected to the Service, including excessive automated requests that exceed reasonable rate limits.
  • Infringe on any third party's intellectual-property rights, including uploading copyrighted materials without authorisation.
  • Misrepresent authorship, fabricate research data, or facilitate plagiarism.
  • Use the Service to violate patient privacy, confidentiality obligations, or professional ethics requirements.
  • Access another user's account without authorisation or share your credentials with third parties.

Violation of this policy may result in immediate suspension or termination of your account.

AI-Assisted Tools

If SciTrack offers AI-assisted features (such as protocol generators, writing aids, or automated suggestions), the following applies:

  • No Guarantee of Accuracy — AI-generated outputs may be incomplete, inaccurate, or unsuitable for your specific research context. Always review and verify outputs before use.
  • Your Responsibility — You remain solely responsible for the final content, including proper citations, factual correctness, and compliance with journal or institutional guidelines.
  • No Acceptance Guarantee — AI-assisted outputs do not guarantee acceptance by journals, reviewers, ethics boards, or any other parties.

Fees, Subscriptions & Refunds

SciTrack is currently offered free of charge. If paid plans become available in the future, the following terms will apply:

  • Billing — Subscription fees will be billed on a recurring cycle (monthly or annual) as selected at the time of purchase. All fees are exclusive of applicable taxes unless stated otherwise.
  • Renewals — Subscriptions will automatically renew at the end of each billing period unless cancelled before the renewal date.
  • Cancellation — You may cancel your subscription at any time. Access to paid features will continue until the end of the current billing period.
  • Refunds — Refund eligibility will be determined on a case-by-case basis. Refunds are generally not provided for partially used billing periods.
  • Free Trials — If offered, free trials convert to paid subscriptions at the end of the trial period unless cancelled beforehand.

We will provide clear notice before introducing any paid plans or changes to pricing.

Third-Party Services & Links

SciTrack integrates with or relies on certain third-party services to deliver the platform, including email delivery providers, hosting infrastructure, and analytics tools.

We are not responsible for the availability, accuracy, or content of third-party services. Your use of such services is subject to their own terms and privacy policies. Any links to external websites are provided for convenience only and do not constitute endorsement.

Intellectual Property

The SciTrack software, user interface, design assets, logos, trademarks, and all proprietary technology remain the exclusive intellectual property of SciTrack and its licensors.

You may not copy, modify, distribute, sell, lease, reverse-engineer, or create derivative works of any part of the Service except as expressly permitted.

Feedback. If you submit feedback, suggestions, or improvement ideas, you grant SciTrack a perpetual, irrevocable, royalty-free right to use, modify, and incorporate such feedback without any obligation to you.

Availability, Support & SLA

We strive to keep SciTrack available at all times, but we do not guarantee uninterrupted, error-free, or secure access. The Service may be temporarily unavailable due to maintenance, upgrades, or circumstances beyond our control.

Support is provided on a best-effort basis via email and the in-app contact form. We do not guarantee specific response times unless explicitly stated in a separate service-level agreement.

Termination

By You. You may stop using SciTrack at any time. You may also request account deletion by contacting us.

By Us. We may suspend or terminate your account at our discretion, with or without notice, if we reasonably believe you have violated these terms, pose a security risk, or if termination is required for legal compliance.

Effect of Termination. Upon termination, your right to access the Service ceases immediately. We will handle your data in accordance with our Privacy Policy, including applicable retention and deletion timelines.

Disclaimers

The Service is provided "AS IS" and "AS AVAILABLE" without warranties of any kind, whether express, implied, or statutory.

To the maximum extent permitted by law, SciTrack disclaims all warranties, including but not limited to:

  • Implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
  • Any warranty that the Service will be uninterrupted, timely, secure, or error-free.
  • Any warranty regarding the accuracy, reliability, or completeness of any content or data processed through the Service.

Limitation of Liability

To the maximum extent permitted by applicable law, SciTrack and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of data, loss of profits, loss of research, or interruption of business, arising from your use of the Service.

In jurisdictions that do not allow the exclusion of certain warranties or limitation of liability for consequential damages, our liability shall be limited to the greatest extent permitted by law. In no event shall our total aggregate liability exceed the amount you have paid us (if any) in the twelve (12) months preceding the event giving rise to the claim.

Indemnification

You agree to indemnify, defend, and hold harmless SciTrack, its affiliates, and their respective officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising out of or related to:

  • Your use or misuse of the Service.
  • Your Content, including any claims that it infringes on third-party rights.
  • Your violation of these Terms & Conditions or any applicable law.
  • Your interactions with other users or collaborators on the platform.

Governing Law & Dispute Resolution

These Terms & Conditions are governed by and construed in accordance with the laws of [Your Jurisdiction], without regard to its conflict-of-law principles.

Any disputes arising from or relating to these terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts located in [Your Jurisdiction].

Before initiating formal proceedings, both parties agree to attempt to resolve disputes through good-faith negotiation for at least thirty (30) days.

Changes to These Terms

We reserve the right to update or modify these Terms & Conditions at any time. Changes become effective upon posting to this page with a revised "Last updated" date.

For material changes, we will provide notice via email or in-app notification to registered users. Your continued use of SciTrack after changes are posted constitutes acceptance of the revised terms.
